About the role
We are currently seeking to recruit a full-time Medical Secretary / Administrator to join our busy Pain Management Clinic. Our team consists of two Professors, one Consultant Doctor, one IT Specialist, and one Medical Secretary. Working alongside our existing Medical Secretary and clinical team, you will support the smooth running of the practice, managing appointments, patient records, correspondence, and day-to-day administration. This is a fast-paced role involving approximately 100 patient interactions per week and requires excellent organisational, communication, and patient-focused skills.

Key responsibilities
- Assist consultants with procedure scheduling, theatre bookings, and preparation of supporting clinical documentation
- Manage referral pathways, waiting lists, and appointment scheduling to maximise consultant availability and minimise scheduling conflicts
- Liaise with private health insurers to obtain treatment authorisations, procedure approvals, and support reimbursement processes
- Work closely with the Medical Secretary and clinical team to ensure efficient day-to-day clinic operations and participate in regular team meetings
- Support consultants in the preparation and distribution of clinic letters, reports, prescriptions, referrals and correspondence
- Identify opportunities to improve administrative processes and contribute to the smooth running of the practice
- Maintain accurate records and support audit, accreditation, and quality assurance activities where required
- Monitor and maintain clinic supplies, including medications and office stock, ensuring adequate levels are available to support daily operations
Essential
- Minimum 2 years' experience in administration, healthcare administration, customer service, patient services, or a similar office-based role
- Fluent English with excellent written and verbal communication skills
- Excellent organisational and time management skills with the ability to manage multiple priorities
- High level of accuracy, attention to detail, and confidentiality
- Strong telephone manner and patient centred skills
- Strong problem-solving abilities and ability to work independently and as part of a multidisciplinary team
- Proficiency in Microsoft Outlook, Word, and Excel
- Ability to work effectively under pressure in a busy clinical environment
- Compassionate, confidential and professional approach when dealing with patients and sensitive information
- Ability to work independently, use initiative, and contribute positively as part of a team
- Open to feedback and committed to continuous professional development
Desirable
- Experience working in a healthcare setting
- Familiarity with medical terminology
- Experience using electronic patient record systems such as iMedDoc, MedServ, Beacon Remote, or similar systems
- Experience dealing with private health insurers
- Experience working in a private consultant clinic or private healthcare setting
- Pharmacy Technician qualification is advantageous

Working hours
Monday to Friday, 8:30 AM – 5:30 PM, in person (on site). Due to the patient-centred aspect of the practice there is no working from home and the successful candidate will need to be available from the start and finish times of the clinic.
